arkiTrace Documentation

Forward a client inquiry. Arki drafts the full proposal in about 3 minutes. You review, edit, send. You're always the final gate.

What is arkiTrace?

arkiTrace is an AI business assistant for trade businesses. Forward a client inquiry, and Arki reads it, matches materials from your catalog, generates photorealistic renders, prices the job from your formulas, and assembles a branded PDF proposal — ready for your review in about 3 minutes.

Every proposal, every follow-up, every client message lands in your inbox first. You spend 60 seconds reviewing, edit if needed, then hit send. Arki never emails your clients without you. Zero surprise. Zero liability. You're always the final gate.

Two Ways to Work

Chat with Arki

Open the app, talk to Arki in plain language. Ask it to draft proposals, update the pipeline, flag hot leads, or remember a new pricing rule. Every action lands in your inbox for approval before anything goes external.

Canvas Mode

The interactive workspace. Upload sketches, photos, or DXF files. Chat with Arki inside a visual canvas. Iterate designs. Generate renders. Build proposals hands-on when you want to lead.

Inquiry-to-Proposal Flow

The fastest path from a client request to a ready-to-send proposal. Forward the email, paste the brief, or type it into chat — Arki handles the rest and drops the finished proposal in your inbox for approval.

How It Works

  1. Forward the inquiry. Send any client request to your Arki inbox or paste it into chat. Text, attachments, photos — all accepted, in any language.
  2. Arki reads the brief. Extracts requirements: room type, dimensions, style preferences, budget signals, timeline. Understands context in EN or GR.
  3. Materials matched from your catalog. Pulls the actual products you stock and sell, with real SKUs and your supplier pricing. No generic stock.
  4. Renders generated. Photorealistic visualizations using your matched materials. Multiple options if the brief calls for it.
  5. Job priced with your rules. Applies your pricing formulas: materials, labor, markup, VAT. Good/Better/Best tiers built automatically. No AI guessing — deterministic math from your catalog.
  6. Branded PDF assembled. Cover letter, renders, pricing breakdown, timeline, terms. Your logo, your colors, your fonts.
  7. Lands in YOUR inbox. Not the client's. You review for 60 seconds, edit any line item, then send directly or via shareable client link.

Total time: about 3 minutes for Arki to draft, about 1 minute for you to review. Under 5 minutes from inquiry to sent proposal, every time.

Canvas Mode

The interactive workspace for when you want hands-on control. Upload sketches, photos, or DXF files. Chat with Arki. Explore materials. Generate renders. Build the proposal your way.

What You Can Do

  • Upload anything: Hand-drawn sketches, site photos, reference images, DXF floor plans, or just describe what you need
  • Chat with Arki: Refine designs through conversation. Each response generates a new version you can compare against previous ones
  • Explore materials: Browse your catalog, drag materials onto the canvas, see them rendered in context
  • Generate variations: Up to 6 material and style options at once for client presentations
  • Set style and lighting: Control render approach (photorealistic, stylized, enhanced sketch), time of day, and environment
  • Build proposals: Once you have the renders you want, generate the full proposal package from the workspace — still lands in your inbox for approval

When to Use Canvas Mode

  • Complex projects that need creative exploration
  • Client meetings where you want to iterate live
  • When you have specific design intent beyond what a written brief conveys
  • Material comparison sessions — showing a client 4 countertop options side by side

Business Memory

This is what makes Arki actually useful. You set up your business data once, and every proposal uses it automatically. No re-entering specs. No looking up pricing. No copy-pasting from spreadsheets. Tell Arki a rule once — “always add 15% on Calacatta marble” — and it applies forever, to every future proposal, automatically.

What Arki Remembers

Material Catalog

Product names, SKUs, supplier info, unit pricing, stock status. The actual products you sell and install. Hybrid search across names, categories, and semantic meaning — even cross-language.

Pricing Formulas

Labor rates, markup percentages, minimum charges, quantity breaks, regional adjustments. Your real pricing logic. Deterministic math, not AI guessing.

Business Rules

Standard dimensions, clearances, installation requirements, supplier preferences. Every persistent rule you've taught Arki. Tell it once, applied forever.

Client History

Past projects, preferred materials, budget range, communication language, win/loss history. Every proposal gets smarter about each specific client.

Brand Kit

Logo, colors, fonts, cover templates, terms and conditions, payment terms. Every proposal looks like yours.

Your catalog and pricing are set up during onboarding. After that, you can update materials, formulas, and rules anytime — changes apply to all future proposals.

CRM & Pipeline

Arki comes with a full CRM built in. Every client, every project, every proposal, every view — all tracked automatically. You see what's hot, what's stale, and what needs your attention.

Pipeline Stages

  • Lead — inquiry received, not yet quoted
  • Proposal sent — quote delivered to client
  • Viewed — client has opened the shareable link
  • Negotiating — active conversation
  • Won / Lost — final state, with reason tracking

Proactive Alerts

  • Hot leads: 3+ proposal views, not yet won — time to call
  • Stale proposals: sent 5+ days ago, 0 views — time to nudge
  • Dormant clients: 90+ days with no contact — time to re-engage
  • Unactioned leads: stuck at lead stage for 3+ days — time to follow up

Alerts appear in your in-app notification bell twice a day. Important alerts that go unread for an hour also get emailed to you (grouped, max 3 per day). Arki never pings your client directly — only you.

Engagement Analytics

When a client opens your shareable proposal link, Arki tracks which sections they read and for how long. Did they spend 40 seconds on pricing and skip the timeline? Arki flags it and drafts a follow-up you can approve and send — offering a cheaper alternative, for example.

What You Get Per Proposal

Client-Facing: Branded PDF + Shareable Link

  • Cover letter with project summary and your branding
  • Photorealistic renders of the proposed design
  • Good / Better / Best pricing options
  • Full itemized pricing breakdown with VAT
  • Estimated timeline
  • Terms and payment schedule
  • Shareable client link with view tracking and section analytics

Internal: Excel Workbook + Production Specs

  • Cut lists with exact dimensions and edge banding
  • Hardware specifications
  • Material costs at supplier pricing
  • Supplier SKUs for ordering
  • Labor hour estimates
  • Margin analysis per option

The client sees a polished proposal. Your team sees the build sheet. Both generated from the same data in the same 3 minutes.

Getting Started

arkiTrace is set up with you, not by you. Here's how onboarding works:

  1. Book a strategy call. 30 minutes. Bring a recent client email or project brief.
  2. Live demo on your data. During the call, we run your real client email through Arki so you see the output on your actual business — before you pay anything.
  3. We build your catalog. We set up your materials, pricing formulas, business rules, and brand kit in Arki.
  4. Your team is trained. Your first proposal is drafted on the same call. You're operational the same day.

No self-serve setup. No figuring it out alone. Your catalog and pricing are configured correctly from day one.
